Role Overview

As an Administration & Operations Coordinator, you’ll oversee essential administrative tasks, manage schedules, and ensure smooth day-to-day operations. Your role is key in maintaining organized processes while delivering exceptional customer service.

What You’ll Do:

Administrative Tasks

  • Handle student enrollment and maintain contact databases.

  • Manage paperwork and organize important documents.

  • Perform basic bookkeeping (invoicing, payment tracking, financial reports).

Operations & Logistics

  • Oversee facility upkeep and ensure classrooms/equipment are ready for use.

  • Schedule and coordinate class timetables, room allocations, and instructor availability.

  • Address urgent operational needs in coordination with leadership.

Customer & Student Relations

  • Provide front-desk support, greet visitors, and assist with inquiries.

  • Respond to calls/emails regarding enrollment, schedules, and payments.

  • Assist in organizing events such as showcases and recitals.

Who You Are:

We’re looking for someone who thrives in a fast-paced environment and brings the following qualities:

Experience & Background

  • 2+ years in administrative or operations roles (e.g., office manager, administrative coordinator).

  • Experience with scheduling and class/program management.

  • Familiarity with invoicing, payment tracking, and financial reporting.

  • Exposure to accounting or ERP tools (Zoho Books, QuickBooks) is a plus.

Skills & Competencies

  • Strong organizational & multitasking abilities – Can handle multiple responsibilities and anticipate needs.

  • Effective communication – Writes clear emails, has good phone etiquette, and can address parent/student inquiries professionally.

  • Tech-savvy – Comfortable with spreadsheets, cloud storage (Google Drive/OneDrive), and administrative software.

  • Detail-oriented yet adaptable – Balances accuracy with the flexibility to handle last-minute changes.

  • Customer-service mindset – Friendly, patient, and solutions-focused in every interaction.

  • Calm under pressure – Keeps composure in high-paced or unexpected situations.

  • Growth & team-oriented – Willing to learn, take feedback, and collaborate effectively with instructors and leadership.
